Tips for Writing Application Acceptance Letter

"Yes! Hello there! How are you doing? I am sure you are the candidate we are looking for and your application lying in front of me with all the credentials we seek have been accepted and you will get a buzz from us soon."

Sounds catchy, isn't it? Well, yes it sure is a way to accept a job application but unfortunately not all companies (actually very few can) can afford to be so casual in their official communication. One needs to be formal and precise in their deliveries in a letter as important as an application acceptance letter.

There are many reasons for maintaining such formalities in the communication you have with candidates for jobs. First and foremost in line is your own reputation in front of the candidates. Remember that the candidates who apply in your organization do spread around the word and your organization becomes a product of word of mouth propaganda.

Write the letters in the American letter format, in which all the content of the letter is left intended. The letter should be on the company letter head only and duly signed and stamped by the concerned authority. Have a soft copy ready (pre drafted) and before taking a print of the letter, do type in the names of the recipients separately, instead of writing it in hand later.

Keep the information handy when you sit down to draft the letters to the concerned recipients. The information includes their names, addresses, resumes or applications, credentials, etc. The credentials are needed to make the letter personal and customized like agreement letter example is given. You can refer to some of their accolades and things that they mentioned in the application letter.

Mention in the letter that you are accepting the application and that the candidate falls in the eligibility criteria. It should sound like an acknowledgement in case you are keeping the application on hold. In case you decide to hire the candidate, it should sound enthusiastic and reiterate on the fact that you are looking forward to have his or her on some specific date and time.

In some cases you can refer to the enthusiasm the candidate expressed in his or her application. For example, if there is a candidate who has applied in an educational institute for carrying on research in her choice of subject and has mentioned why she wants to pursue the same, you can write, "We are impressed by the enthusiasm you have shown in our program, thus acknowledging your application and expect you to join the course from (date) with the same enthusiasm."
